Santa Cruz implements Xenos' infoWEB Report Distribution Software

County improves employee effectiveness

TORONTO, Ontario, June 16, 2004 - Xenos Group Inc. (TSX: XNS), the data to e-content companyT, today announced that Santa Cruz County, California has successfully implemented Xenos infoWEB software.

Santa Cruz County's Department of Information Services (DOIS) provides IT services to the general government sector of Santa Cruz County. Their challenge was to implement paperless Web based reporting to reduce the high cost of printing, printer supplies, scheduling and distributing of printed reports. Santa Cruz County printed and distributed paper reports, such as Payroll, Human Resources and FAMIS reports, to its employees. The issues with distributing paper reports were:

  • Staff found it time consuming to find the information in paper reports requiring a page by page read of the report to find the information that they needed
  • Reports are not available immediately after they are produced
  • End users would sometimes need to transcribe the information in reports into other applications, typically spreadsheets
  • End users were never sure if they had the latest version of the report

The challenge Santa Cruz faced was to address the problems associated with paper reports while preserving the investment in their IT infrastructure and in the IT applications that generated the reports. DOIS implemented Xenos infoWEB to distribute Santa Cruz's reports through the Internet to any standard Web browser.

Xenos infoWEB was chosen because the price structure allowed Santa Cruz to effectively budget for report distribution. Functionality and ease of use were other reasons for choosing infoWEB.

The benefits to Santa Cruz County included cost savings - Xenos infoWEB enabled DOIS to successfully and cost-effectively eliminate the printing and distribution of paper reports to its employees. The savings associated with infoWEB's web-based reporting was re-deployed into other DOIS initiatives. The county was able to use their existing computing infrastructure and did not have to make any changes to their computer applications. This allowed for a rapid implementation of infoWEB, resulting in early and substantial cost-savings.

Other benefits provided by infoWEB include improved employee productivity. Since infoWEB reports are delivered immediately after processing, employees have their information available within minutes after the report processes.

"The productivity is probably the most important aspect of the product. People have electronic search capabilities instead of thumbing through reports," said Art Weeks, Data Center Manager at Santa Cruz.

When infoWEB reports are delivered, employees receive an email notification from infoWEB stating what report is available and providing a hyperlink so that the employee can simply click on the link and be taken to their dashboard to review the new report.

Since reports are delivered immediately by infoWEB, employees are always working with current information without the risk of using outdated paper reports. Paper no longer needs to be delivered, stored and retrieved. Reports are available in real-time from their existing Internet browser.
