Xenos DETAIL™ Best Practices Methodology Enables Systematic Consolidation Of Document Archives

Data And Document Management Specialists Outline Quick And Efficient Document Migration For Growing Organisations

United Kingdom, 21 May 2007 — Xenos Group Inc. (TSX: XNS), today launched its Xenos DETAIL™ Best Practices Methodology, a benchmark guide for resolving the issues surrounding multiple ECM (Enterprise Content Management) systems and document & data archives, as a result of growth, merger, acquisition or reorganisation. Through Xenos’ six systematic steps – Discovery, Extraction, Transformation, Auditing, Indexing and Loading – organisations can add value to documents whilst migrating them into a single system quickly and efficiently.

As organisations grow, from merger to reorganisation, they are inevitably left with a backlog of databases, archives and repositories (such as ECM systems), containing large volumes of business critical documents and print streams in different formats, such as statements and invoices. This leaves organisations with incompatible documents and data feeds that are difficult to action, resulting in a need to migrate the documents into a single standard format and consolidate the disparate systems.

“Many organisations are simply not aware of how many different document and data archives or ECMs are housed within the business and that consolidation will not only reduce associated costs but improve document usability and offer a real competitive advantage,” comments Managing Director EMEA of Xenos, Jeff Mills. “The Xenos DETAIL™ Best Practices Methodology guides organisations through the identification of the sticking points caused by disparate systems and how to initiate and manage consolidation to release the value locked within their documents.”

The Xenos DETAIL™ Best Practices Methodology consists of six steps:
  • Discovery: Understanding the current ECM system(s) and the types of documents contained within them.
  • Extraction: Establish the available means to extract document data from each ECM system, select the best approach and execute it at the appropriate time.
  • Transformation: Re-purpose document data and manipulate it to increase the value.
  • Auditing: Throughout the process, documents and other related data must be tracked to ensure that all information is accounted for, in order to maintain the chain of custody.
  • Indexing: Indexes or metadata provide actionable information about your documents and the migration process provides an opportunity to add or enrich the indexes available, based upon evolving business values.
  • Loading: Insert or load document data into the new ECM system using the appropriate metadata or indexes.
Xenos’ benchmark system enables organisations to reduce costs associated with multiple, incompatible systems, from training to hardware maintenance. The flexibility of document access and retrieval is increased – with available options such as online statement presentment in any required major format – and existing customer data locked up in archived documents is released.
