New Survey From Xenos Reveals 82% Of Businesses And Their Customers Access Multiple Document and Data Archives
Xenos Warns That Businesses Are Wasting Resources By Accessing More Enterprise Content Management Systems Than Necessary
United Kingdom, 23 May 2007 — Xenos Group Inc. (TSX: XNS), today reported the results of its survey into enterprise content management (ECM) and archive usage. It reveals that many businesses and their customers could be incurring unnecessary costs by accessing multiple ECM or data and document archives. The survey reveals that over 76% of respondents own one or more ECM systems, with 82% also claiming to access multiple archives.
The survey was conducted at the beginning of May during AIIM’s UK Roadshow. 48% of those respondents with ECM systems also agreed that improving customer service was one of the main reasons for use, with cost savings and business process efficiencies joint second with 35%.
Half of the respondents surveyed stated that they were required to keep certain documents for legislative or regulatory purposes, something that is of increasing importance during mergers and acquisitions. Such activities inevitably leave organisations with a backlog of databases, archives, ECMs and repositories containing large volumes of business critical documents and print streams in different formats, such as statements and invoices. This leaves organisations with incompatible documents and data feeds that are difficult to action, resulting in a need to migrate the documents into a single standard format and consolidate the disparate systems.
“Multiple ECM systems and archives are often a symptom of organisational growth, from mergers and acquisitions to increasing department numbers,” says Managing Director of Xenos EMEA, Jeff Mills. “As a result costs such as hardware maintenance and staff training on the different systems are increased, something which can be reduced significantly through consolidation into a single unit. Using an approach like Xenos’ DETAIL™ Best Practices Methodology to perform a systematic consolidation offers additional benefits, including adding customer service value to documents by transforming them into a standard organisational format and increasing access channels, such as online statement presentment.”
